Events Hub

Events Hub is a centralized workspace in Sendoso for managing event-related orders from start to finish: creating, tracking, and returning materials tied to an event. Events Hub gives you self-service visibility across the whole event lifecycle.

Who is it for?

Events Hub is built for the people who own event logistics, such as Event/Field Marketing Managers and Marketing Operations, who own the event lifecycle end-to-end. 

Demand Gen/ABM Managers and Trade Show/Event Coordinators would also benefit, as they may coordinate pre-, at-, and post-event gifting tied to specific events and need visibility into fulfillment timing and returns.

How it works

1. Dashboard: The dashboard gives you a high-level overview of your event sends and returns. Status tiles at the top filter the list below when clicked. View your events in list view or the new calendar view, which shows each event's delivery window and allows you to drill into any event to see its full details.

2. Creating an Order: From the Orders page, click + Create Order. You'll land on Inventory first, this is step one of order creation. As you select items, the Create Order button activates; once everything you need is added, click it to continue.

On the next page, you'll:

  • Set the quantity for each item
  • Enter an Event Title (this is what displays in Events Hub)
  • Select a delivery window (expedite fees now display inline if you need items in less than 10 calendar days)
  • Select funding or sender balance
  • Enter shipping information for the label
  • Optional: upload a PDF if you have a custom event label
  • Optional: request a return label if you plan to ship inventory back after your event (shipping charge applies)

3. Review & Submit: Review your final event send details before submitting.

  • If your order is eligible for tiered predictable pricing, that amount will be reflected in the shipping cost shown.
  • If not eligible, a default shipping amount is charged upfront, and the remaining shipping cost is deducted after the order ships and is finalized.

4. Fulfillment & Tracking: Each event order detail page shows the Event details, shipment status, tracking link, delivery window, and products/SKUs/quantities included.

Status progresses: ScheduledProcessingShippedDelivered

  • Scheduled: Once you submit an order with a future date, it displays as Scheduled. Inventory for the order is held at this time, and you can cancel the order if needed while it's in this stage.
  • Processing: Once the order moves to Processing, it's no longer available for cancellation.
  • Shipped: The order is in transit to its destination. Final shipping charges have been applied, and tracking is now available on the order details page. 
  • Delivered: The order has successfully arrived at its destination. 

5. Returns: During order creation, you can request a return shipping label to ship back your items after your event. Each return is issued a unique Ship Notice #, which the warehouse uses to identify and receive the inventory. Track the return anytime from the Returns page.

Once the event order ships, the return moves from Pending to In Transit, and the tracking number and return label become available for download on the Return Details page. If your final return quantities change, click Adjust Items in Return to generate an updated Ship Notice; this is also available to download and include in the return package.

Once the package is returned and inventoried, you'll get a confirmation notification that your return has been received.

Who on my team can access Events Hub?

How far in advance do I need to schedule an event order?

Event Fulfillment send type requires 10 calendar days' notice; otherwise, expedited processing fees will apply. 

What happens if my event is too soon for standard shipping? Will I be charged an expedite fee, and how is it calculated?

Both expedited shipping and processing fees may apply. Expedited processing fees: 7–9 days out ($250), 5–6 days out ($500), 3–4 days out ($1,000). 

Can I edit an event order after it's scheduled?

No, but you can cancel an order while it's still in “Scheduled” status and resubmit it. 

Can I return only part of my shipment?

Yes, you can send all items or a partial quantity when shipping back event materials. However, do not add items not included in your original order. The return label is generated with the weight and dimensions of the original event shipment.
