Sendoso is simplifying Send statuses. You may need to update your reports and workflows to add new statuses alongside the old ones before the rollout begins on April 15th, 2026

You'll need to make these updates to your workflows or reporting for your evergreen campaigns or if you create any new campaigns on or after April 15th.

But don't worry, in this Guide, we'll go over what exactly you need to do to prepare for the new, unified send statuses. Completing these steps will ensure a smooth transition and prevent any confusion on send statuses moving forward.

Implementation Timeline

Salesforce

Where Sendoso Statuses Live in Salesforce:

  • Campaign Member Status field on Campaign Members
  • Custom fields on Contact/Lead (if using Additional Tracking Fields)
  • Reports filtering on Campaign Members
  • Process Builder/Flow criteria using Campaign Member Status

Update Reports:

  1. Navigate to Reports → Search for reports filtering on Campaign Member Status or Sendoso-related fields
  2. Edit the report → Go to Filters tab
  3. Find Campaign Member Status filter (or custom Sendoso Status field)
  4. Update the filter logic:
    • Change filter from "equals" to "includes" or use multiple OR conditions
    • If filtering for Opened OR Clicked → Add "Engaged"
    • If filtering for Used → Add "Delivered"
  5. Example filter update:
    • Before: Campaign Member Status equals "Opened"
    • After: Campaign Member Status includes "Opened", "Clicked", "Engaged"
  6. Save and run report to verify data appears correctly

Update Process Builder/Flows:

  1. Setup → Process Automation → Process Builder (or Flows)
  2. Find processes that evaluate Campaign Member Status or Sendoso custom fields
  3. Edit the criteria node:
    • If using "equals" logic, change to "is changed" or add multiple criteria
    • Add new status using OR condition
    • Example: Status = Opened OR Status = Clicked OR Status = Engaged
  4. Clone criteria node if needed to avoid breaking existing logic
  5. Activate the updated version
  6. Monitor for 24-48 hours to ensure triggers fire correctly

Update Salesforce Campaigns:

When creating new campaigns after the migration, use these Campaign Member Statuses:

  • Offer Sent
  • Engaged
  • Processing
  • Shipped (physical only)
  • Delivered
  • Undeliverable (physical only)
  • Refunded
  • Cancelled

For existing campaigns during the transition period:

  • Keep all existing statuses
  • Add new statuses alongside old ones
  • Map both old and new in Sendoso campaign tracking setup

HubSpot

Where Sendoso Statuses Live in HubSpot:

  • "Sendoso: Gift Event Sync Status Properties" on Contact records
  • Custom Activity timeline events
  • Workflow enrollment triggers
  • Report HubSpot Integration
  • Filters under "Integration Filters"

Update Reports & Lists:

  1. Navigate to Reports (or Lists) → Find reports using Sendoso Status properties
  2. Edit report filters
  3. Search for "Sendoso" in the filter properties
  4. Select "Sendoso: Gift Event Sync Status Properties"
  5. Update the status filter:
    • Change from "is exactly" to "is any of"
    • If filtering for Opened or Clicked → Add "Engaged"
    • If filtering for Used → Add "Delivered"
  6. Example:
    • Before: Sendoso Status is exactly "Opened"
    • After: Sendoso Status is any of "Opened", "Clicked", "Engaged"
  7. Save and verify data populates correctly

Update Workflows:

  1. AutomationWorkflows
  2. Find workflows with Sendoso status enrollment triggers
  3. Edit enrollment triggers:
    • Locate "Sendoso: Gift Event Sync Status Properties" trigger
    • Add additional trigger criteria (don't replace existing)
    • Add new status: "Engaged" (if using Opened/Clicked) or "Delivered" (if using Used)
  4. Keep both old and new triggers active during transition
  5. Test enrollment with a test contact to verify workflow fires
  6. Monitor enrollments for first 48 hours

HubSpot Activity Timeline:

Sendoso statuses also appear in the Contact Activity feed. These will automatically update with new statuses - no action needed.

Marketo Engage

Where Sendoso Statuses Live in Marketo:

  • Program Member Status in Marketo Programs
  • Custom "Sendoso Touch ID" field on Lead records
  • Smart List filters
  • Smart Campaign triggers
  • Channel-level member statuses

Update Smart Lists:

  1. Navigate to Database → Smart Lists
  2. Find Smart Lists filtering on Sendoso Program Member Status
  3. Edit the Smart List → Find "Member of Program" or "Program Status" filters
  4. Update status criteria:
    • Change from "is" to "is any" operator
    • If filtering for Opened or Clicked → Add "Engaged"
    • If filtering for Used → Add "Delivered"
  5. Example:
    • Before: Program Status is "Opened"
    • After: Program Status is any of "Opened", "Clicked", "Engaged"
  6. Save and check the Smart List count

Update Smart Campaigns:

  1. Marketing Activities → Find Smart Campaigns using Sendoso status triggers
  2. Edit Smart List tab (the trigger criteria)
  3. Locate "Program Status is Changed" trigger or similar
  4. Update trigger:
    • Clone the trigger to add new status alongside old
    • Add new status: "Engaged" (for Opened/Clicked) or "Delivered" (for Used)
    • Use "is any of" operator
  5. Keep both triggers active during transition
  6. Activate the Smart Campaign
  7. Test by manually updating a test lead's program status

Update Marketo Channels:

If you created a custom "Direct Mail" or "Sendoso" channel with member statuses, update the channel:

  1. Admin → Tags → Channels
  2. Edit your Sendoso/Direct Mail channel
  3. Add new Program Member Statuses:
    • Offer Sent
    • Engaged
    • Processing
    • Shipped (physical only)
    • Delivered
    • Undeliverable (physical only)
    • Refunded
    • Cancelled
  4. Keep old statuses during transition period

Webhook Payload:

If using Marketo Webhooks to trigger Sendoso, the webhook will continue to work - no changes needed to the payload. Sendoso will handle status mapping on the backend.

Outreach

Where Sendoso Statuses Live in Outreach:

  • Activity Feed on Prospect records
  • Sequence Triggers based on Sendoso events
  • Event Types available for trigger configuration
  • Filters for viewing Sendoso activities

How Outreach Integration Works:

Sendoso posts events directly into your Outreach Activity Feed, allowing you to track gift statuses without leaving Outreach. These events appear automatically when sends are initiated from Outreach.

Important: Only sending activity initiated in Outreach will be visible in Outreach's Activity Feed. Sends initiated outside Outreach (e.g., from sendoso.com) will not appear.

Update Sequence Triggers:

  1. Navigate to Outreach → Triggers
  2. Find triggers using Sendoso event types
  3. Edit trigger conditions:
    • If trigger fires on "eGift Opened" or "eGift Clicked" → Add "Engaged" as event type
    • If trigger fires on "eGift Used" → Add "Delivered" as event type
  4. Update Prospect Conditions section:
    • Under "Event Type," add the new unified statuses
    • Keep old event types during transition
  5. Example Trigger Update (Best Practices):
    • Before: Fire when Event Type = "eGift Opened"
    • After: Fire when Event Type = "eGift Opened" OR "eGift Clicked" OR "Engaged"

Update Activity Filters:

  1. Navigate to Prospect record → Activity tab
  2. Click filter icon to drill into Sendoso activities
  3. Add new status filters:
    • Include both old statuses (Opened, Clicked, Used) and new statuses (Engaged, Delivered)
  4. Saved views may need updating if they filter by specific Sendoso statuses

Sequence Steps:

Sendoso steps within Sequences will continue to work without modification. The status updates in the Activity Feed will reflect the new unified statuses automatically after the migration.

Trigger Actions:

  • Triggers can add prospects to follow-up sequences when gifts are "Delivered"
  • Use the "Engaged" event to trigger sequences when recipients interact
  • No changes needed to existing trigger actions - only update the event type conditions

Salesloft

Where Sendoso Statuses Live in Salesloft:

  • Activity Feed on Person records (via Salesforce sync)
  • Custom Person Field (if using Salesforce flow writeback)
  • Cadence steps with Sendoso integration
  • Triggers based on status changes

How Salesloft Integration Works:

Salesloft does not receive Sendoso statuses directly. Instead, you leverage Salesforce to push Campaign Member Statuses to the Contact/Lead object, then sync that field to Salesloft.

Architecture: Sendoso → Salesforce Campaign Member Status → SFDC Flow → Contact/Lead Custom Field → Salesloft Custom Field

Implementation Steps:

If you've already set up the Salesforce → Salesloft status sync:

  1. Update your Salesforce custom field on Contact/Lead:
    • Go to Setup → Object Manager → Contact (or Lead) → Fields
    • Find your Sendoso status field (e.g., "Sendoso Delivery Status")
    • Edit the picklist values to add:
      • Engaged
      • Delivered
      • Offer Sent
      • Processing
      • Refunded
      • Cancelled
    • Keep existing values (Opened, Clicked, Used, Sent, etc.)
  2. Update your Salesforce Flow that pushes statuses:
    • Go to Setup → Process Automation → Flows
    • Find your flow that updates the Contact/Lead status field
    • Edit the "Set Entry Conditions" section:
      • Add new Campaign Member Statuses: Engaged, Delivered, Offer Sent
      • Keep existing conditions (Opened, Clicked, Used)
    • Use "Any Condition is Met (OR)" logic
    • Save and Activate the updated flow
  3. Update Salesloft Custom Field picklist values:
    • In Salesloft: Settings → Field Configuration
    • Find your custom Sendoso status field
    • Edit the picklist to add:
      • Engaged
      • Delivered
      • Offer Sent
      • Processing
      • Refunded
      • Cancelled
    • Keep existing values during transition
  4. Update Triggers and Cadences in Salesloft:
    • Triggers: Add new status values (Engaged, Delivered) to trigger conditions
    • Cadences: Update any automation steps that reference specific statuses

If you haven't set up Salesforce → Salesloft sync yet:

Use the new unified statuses from the start. Follow the complete setup guide in the Sendoso documentation to create the SFDC field, flow, and Salesloft field with the new status values.

Activity Tracking:

When you send from Salesloft using the Sendoso integration, the send activity logs to the Person record. Status updates will reflect in your custom field (synced from Salesforce) rather than appearing as separate activities.

Take Note

Removing old statuses too early → Wait until after migration completes

Only updating reports → Don't forget workflows, Smart Campaigns, and Process Builder!

Using "equals" instead of "is any of" → You need OR logic to include multiple statuses

Forgetting scheduled reports → Update those too, or they'll break

Not testing after updates → Always test with sample data before going live

Forgetting Custom Fields → If you use Sendoso writeback fields on Contact/Lead/Campaign objects, update those filters too
