Introduction
Using Sendoso’s HubSpot integration, you can easily generate a Segment (list) of contacts who received a Sendoso gift.
If your team is sending directly from HubSpot (from the contact record or automations), follow the steps below.
Create a segment of recipients HubSpot integrated Sending
Start by logging into HubSpot, and going to CRM > Segments. From the Manage tab, select Create segment at the top.
Your list will be Contact-based. Click Next.
To begin creating your list, you’ll select “Add filter” at the top. From the filter selection screen, switch to the "Events" tab and search “Sendoso”.
Once you see “Sendoso” under the heading “Integration Filters”, select it, and then you’ll see the filter labeled “Gift Status Event”. Click on that to open up the available filters.
From this screen, you’ll have the choice of which attributes you want to filter by. You might want to create a list based on the specific gift that was sent using the Campaign ID.
Once you’ve selected your filters and generated your segment, click Next.
Don't forget to name your segment at the top!
Now, depending on how you’d like to use this segment, select Active or Static.
An active segment can be used to trigger email follow-ups based on the contact’s Sendoso status, which is useful if you send gifts to sales prospects for example.
A static segment could be useful for following up with recipients of a specific campaign that is not ongoing, e.g. a webinar.
Click Save and process segment at the bottom once you're done!
You can now use this list to send emails, run workflows, and track your gift recipients for all Sendoso sending.
Best Practices and Considerations
- If you want to trigger off the Gift Status, use the ‘Subject Line’ filter and type in the gift status(es) you want to report on.
- Utilize the Writeback Mapping fields to enhance your segments in Sendoso. Fields like ‘Send Date’, ‘Gift Chosen’, & ‘Total $ Spent on Recipient’ can help with reporting needs in a segment.
- You can use the Campaign ID Filter to create segments for specific campaigns or have just one Segment that shows all contacts sent a gift.

FAQs
Should I use an Active or Static segment?
Active for ongoing programs (sales prospecting, nurture flows) where you want the list to refresh as new gifts are sent. Static for one-time follow-up to a specific campaign (webinar attendees, event giveaways) where the recipient list shouldn't change.
Can I segment by specific Sendoso campaign instead of all gifts?
Yes. Use the Campaign ID attribute under the Gift Status Event filter. This lets you build follow-up flows targeted to recipients of one specific gift rather than every Sendoso send.
Why don't I see the Sendoso integration filters in HubSpot?
The Sendoso + HubSpot integration must be fully connected and synced before the Integration Filters appear. If you don't see them, check the integration status in HubSpot's connected apps and confirm sync is active in Sendoso.
Will sends initiated outside of HubSpot show up in this segment?
Yes. All sends in the Sendoso platform will push as activity into Hubspot assuming our integration finds a contact record with a matching email address. We use the email address as the unique identifier to push activity into Hubspot regardless of where the send originates from.
Can I use this segment to enroll contacts in a HubSpot workflow?
Yes. Active segments can be used as enrollment triggers in workflows, which is the most common use case, automatically enrolling gift recipients in a follow-up email sequence based on their gift status.
