Creating a list of Sendoso recipients in HubSpot

Using Sendoso’s HubSpot integration, you can easily generate a list of contacts who received a Sendoso gift.

If you & your team are sending directly from HubSpot (from the contact record or workflows), follow the steps below.

If you’re sending gifts from outside of HubSpot, jump to this section of the article.

Create a list of recipients for sends that occurred within HubSpot

Start by logging into HubSpot, and going to Contacts > Lists. From the Lists page, select Create new.

Your list will be Contact-based. Give it a name, e.g. “Sendoso recipients”.
Depending on how you’d like to use this list, select Active or Static. An active list can be used to trigger email follow-ups based on the contact’s Sendoso status, which is useful if you send gifts to sales prospects for example. A static list could be useful for following up with recipients of a specific campaign that is not ongoing, e.g. a webinar.

Now, click Next.

To begin creating your list, you’ll select “Add filter” from the left-hand side filter menu. From the filter selection screen, you can begin typing “Sendoso” into the search box. Once you see “Sendoso” under the heading “Integration Filters”, select it, and then you’ll see the filter labeled “Sendoso: Gift Status Sync Event properties”. Click on that to open up the available send status filters.

From this screen, you’ll have the choice of which attributes you want to filter by. You might want to create a list based on the specific gift that was sent using the Campaign ID. Or perhaps you want to generate a list of all contacts who responded in a specific way to the gift by using the Sent Status filter. These will be up to you and should be determined by the way you want to use this list in the future.

Once you’ve selected your filters and generated your list, you’re done! You can now use this list to send emails, run workflows, and track your gift recipients for all Sendoso sending.

Create a list of recipients for sends that occurred outside of HubSpot

If your users have done any sending that wasn’t logged in HubSpot, you can still use HubSpot’s list feature to upload the recipients for sales and marketing purposes. Note: you must have Admin privileges to access all sending activity outside of your user/team.

Start by going to Sendoso and navigate to Analytics.

From the top right-hand corner, adjust the date range you’d like to view for this list of recipients. By default, Sendoso will show you metrics for the current month.

Navigate to the bottom right-hand corner card marked “Sender activity”, and click “See table view”.

Download the report as a .csv file. It will download as a compressed file with two .csv files inside. You’ll want to use the one titled “Team Send Details”.

Note: You’ll need to edit your .csv file to remove the first row containing the document title in order for HubSpot to properly read your file. It should look similar to the below:

Now, navigate to HubSpot and go to Contacts > Lists. From the Lists page, click Import. Choose to Import a file from your computer and hit Next.

On the next screen, you’ll select to Import one file. Next, you’ll choose One object since you’ll only be uploading Contacts. Select Contacts for your object type on the next screen.

When it’s time to upload your file, locate the team_send_details.csv file you downloaded from Analytics.

Before advancing, you’ll see the option to Create & update Contacts, Create new Contacts only, or Update contacts only. Select the option that best suits your needs.

Once you’ve uploaded your .csv file, you can map the columns to contact properties. Map what you need (e.g. the Send type, cost, and any other properties you’d like to report on for this list), and select “Don’t import column” for any properties you don’t want to import.

Finalize your list by giving the import a name, opt to Create a list from this import, and check the required box stating that the contacts are opted in to hear from your organization according to HubSpot’s policies.

Hit Finish Import. Congrats! You’ve created a list of all contacts who received a Sendoso send outside of HubSpot.
