Setting up a Custom Email Domain

For eGift and Address Confirmation emails, Custom Email Domains enable Sendoso customers to set up their own custom email domain using a simple self-serve process. 

This feature is available for customers on Core, Advanced and Enterprise Sendoso plans. Also, at this time, we do not support multiple custom email domains. We recommend choosing the best email domain for all of your sending teams to use.

How it works

Sendoso enables SPF and DKIM aligned to your sending email domain. The emails are still sent from the Sendoso serves, but we will use your custom email domain in the From address field. SPF and DKIM align and then the email pass DMARC. CNAME records must remain in place. Removing them after any validation breaks deliverability.

Setting up a custom domain

First, click on the menu icon in the top-right corner of the Sendoso app. From there, click on the Custom Domains link.

You'll then land on a page that will walk you through the process. Click Get Started.

On the next page, you'll enter the custom domain you'd like to use for your gift emails. Please note that the domain you wish to use should be registered to your company and active!

Click Authenticate domain.

Once your domain is authenticated, you'll be prompted to provide your domain records to your internal IT team. They will need to take some steps to complete the process. Here, you'll have the option to copy the records to send to your IT team, or you can use our pre-populated form to generate an email for you! To generate an email from this page, simply click the Email Records.

Now it's up to your internal IT team to complete the process. 

Please note that until your IT team takes the necessary steps, your custom domain will appear as Not Verified on the Custom Domain page. 

After your IT team updates the CNAME records, contact Sendoso Support to manually validate the domain. The Custom Domain page will update to Verified once validation is complete. Validation is not automatic today.

Removing a custom domain

If for whatever reason, you need to edit or remove the custom domain, you're able to do so at any time.

Simply navigate back to the Custom Domain page. You'll see your custom domain and a button to Remove.

When you click Remove, you'll receive a pop-up message letting you know that removing the domain will revert all gift emails to be shown as from mail@sendoso.com. You will also be prompted to let your IT team that they should remove Sendoso CNAME record from the domain hosting provider.

Click Remove to confirm. 

Please note that if you need to edit your custom domain, you will need to completely remove it first.

Below are answers to some frequently asked questions about Custom Email Domain. If you have any additional questions, please reach out to the Support Team using the orange Sendoso widget at the bottom of your screen.

Is this feature available to all users on all plans?

For now, this feature is only available to customers on the Core, Advanced and Enterprise plans

How do I set up my custom email domain?

You can set up your custom email domain using the self-serve process within the Sendoso web app. First, authenticate your domain and then engage with your IT team to update the DNS records. 

Do I need technical expertise to set up a custom email domain?

No, you do not need technical expertise to set up a custom email domain. The process is easy and requires only two steps. First, authenticate your domain within the Sendoso setup. Second, engage with your IT team to update the DNS records.

What do I need to do if I have multiple email domains?

This feature doesn’t support multiple domains just YET. We have plans to expand that in the future.

Can I change my custom email domain after it has been set up?

Yes, you can change your custom email domain after it has been set up by deleting the existing one.

Please note: Deleting the custom email domain from Sendoso will require you to remove all necessary DNS setup on your email server's configuration as well.

Simply repeat the process of authenticating your new domain and engaging with your IT team to update the DNS records.

Can I change the desired email address after the email domain has been authenticated?

Yes, this capability is available under the self-service Custom Email Domains feature. As long as you use an email address under the authenticated domain.

Will my existing email campaigns be affected if I set up a custom email domain?

All sends/emails will use custom email domain once it's active.

What if I have any issues or need help with the custom email domain setup?

If you have any issues or need help, please contact our support team for assistance.

Can I use my custom email domain for both email and physical gifts?

Yes, your custom email domain can be used for both email and physical gifts. This will help you to maintain consistency in your branding and messaging.

Will my custom email domain be secure?

Yes, your custom email domain will be secure. Sendoso uses industry-standard security protocols to protect your custom email domain and ensure that your communications are secure.

Can I use my custom email domain for email campaigns that are sent through Sendoso's API?

Yes, you can use your custom email domain for email campaigns sent through Sendoso's API. This will enable you to seamlessly integrate your custom email domain with your existing systems and processes.

What happens if my IT team doesn't update the DNS records?

If your IT team does not update the DNS records, your custom email domain will not be set up and your email campaigns will continue to be sent from the generic mail@gifts.sendoso.com domain. It's important to communicate with your IT team and ensure they are aware of the custom email domain setup process.

How does this feature work? Are you sending from our servers?

We’re enabling customers to set up email security features called SPF and DKIM, so that email from Sendoso systems can use your own email-sending domain, @yourcompany.com, instead of the default @sendoso.com. This improves the relationship between you and your customer, because your brand is front and center, and Sendoso’s email-sending domain can get out of the way.

Setup requires working with your IT team, to update your sending domain’s DNS records, stored in your Domain Provider account (e.g. Godaddy, Route53, Cloudflare, NS1, etc).

Once set up, the email will still come from Sendoso’s email servers, but now using your email sending domain.

What does the “from” name look like?

From name stays as "{firstName} from {Company Name}"; subject lines are unchanged

What does the subject line look like?

The subject line will be unchanged.

Which emails does this work with?

At this time, this works with Sendoso Choice (eGift) and Address Confirmation emails.

When a recipient replies to an email from a custom email domain, where will that email go?

Like all emails to recipients, replies go to the original sender's inbox, not to a domain inbox. No need to create a gifts@yourcompany.com mailbox. 

For example, if Ana from ABC Corp. sent an eGift to Sarah from gifts@abc-corp.com and Sarah replied, the reply would go to ana@abc-corp.com). 

When a user receives this, will they be opted into additional Sendoso emails?

No, Recipients of eGifts will not be sent any additional emails from us. You're in charge of when your contacts get emails from us. Recipients are not opted into additional Sendoso emails; unsubscribe continues to work

Will recipients still be able to unsubscribe?

Yes

Should I be creating an inbox?

Since email replies will go to the original sender's inbox, there is no need to create a new inbox.

Can I toggle this feature on/off?

Yes, you can simply delete this domain in Sendoso. This will revert all email communication back to mail@gifts.sendoso.com

Does this make my email DMARC-compliant?

Yes. Both SPF and DKIM settings become aligned to your sending domain, to pass DMARC checks.

Do these records need to stay in our record or can they be removed after validation?

Yes, if these are removed after they are initially added, it may break the deliverability.

Can I use my custom email domain for email campaigns that are sent through Sendoso's API?

Yes, this works through Sendoso's API as well. For more information about our API, please reach out to your customer success resource.
