These account-level settings help you control how and when user balances get updated. They work alongside User Spending Limits to manage balance allocation across your organization.
To get there, click on Account Balance from the menu and then click Settings.
Available Refresh Methods
There are two methods for refreshing user balances:
- Reset: Replaces the user’s balance with the full spending limit at the time of refresh.
- Refill: Adds the full spending limit on top of the user’s current balance at the time of refresh.
Example: If a user has $100 left and the limit is $500—
- Reset will set their new balance to $500
- Refill will bring their balance to $600
Available Refresh Schedules
You can refresh balances in one of two ways:
1. Recurring Schedule
- Monthly: Balances refresh on the 1st of every month.
- Quarterly: Balances refresh every 3 months, starting from the first day of your fiscal year.
- By default, the fiscal year begins on January 1st.
- You can customize this to match your organization’s fiscal calendar.
Example: If your fiscal quarters run:
Q1: February – April
Q2: May – July
Q3: August – October
Q4: November – January
You should enter February 1st as the start date of your fiscal year.
2. Manual Refresh
- No automatic schedule. Pick a date each time.
